How Can We Help?
6th meeting (September 2020)
Introduction
The academic committee responsible for BRaS met online on Friday, September 25th, 2020 at 2 pm (Berlin time) to evaluate the work that has been done on BRaS-Blog and the organizational chart. The meeting was conducted by Anna Bennech and Giovanna Imbernon was in charge of the minutes. Professor Doctor Thomas Kestler, Matheus Zago, Matheus Hebling, Cláudia Pires, Thaís Cavalcanti, Lucas Fraga, Eric Nogueira, Jayane Maia, and Guilherme Souza also attended the meeting.
Agenda:
- Overview on BRaS-Blog
- Organizational Chart
Matheus Hebling presented the group with the BRaS-Blog schedule and how the work is going on.
Anna Bennech questioned about the partnership with Boletim Lua Nova and the possibility of changing the name of BRaS-Blog to BRaS-Mag. Regarding the first question, Giovanna Imbernon said that she was managing a meeting with the people responsible for Lua Nova, and Jayane Maia informed she had e-mailed the German National Library and they were examining the request.
Matheus Hebling provided the group with an overview of BRaS-J works and decisions made on the previous meeting.
Jayane Maia requested clarification on the communication strategy and social media management.
Matheus Zago requested to include the “Gmail Accounts” subject on the agenda. Anna Bennech proposed creating an e-mail for each area (Blog, Journal, etc.). On this matter, Matheus Hebling commented the importance of having all information and work registered to monitor all decisions and to make it easy to access them when, and if, there are any changes in the administration and/or members. Jayane Maia and Eric Nogueira believe that personal e-mails are not necessary.
Regarding the following options: a. e-mails for each area and key-positions; b. e-mails for each area and key-positions + personal e-mails, the group voted for the second option (b).
Organizational Chart
Anna Bennech presented the group with the organizational chart and explained what is expected for this structure and what are the objectives of the document. In respect to the structure, some comments were made by the members. Matheus Zago observed that BRaS needs more members to have those positions occupied and that the group would benefit from including English native speakers. Matheus Hebling suggested opening a call for new members. Jayane Maia informed that some of those positions are already held by some current members and Giovanna Imbernon suggested creating a document so all members can contribute to.
On the structure, Anna Bennech asked the group if they should maintain the same structure of BRaS-J and Matheus Zago proposed that it should be more independent from other areas of BRaS. That said, Anna Bennech suggested more time to discuss this matter, and a document for joint contributions was created as well as the subject “Opening call for new members” was included in the next monthly meeting agenda.
Further discussions on the organization were led by the group. Anna Bennech and Jayane Maia mentioned the importance of having departments organized so the group can work separately and not limiting the other areas of BRaS, e.g., the Blog and the Journal. Matheus Zago agreed with the aforementioned arguments saying that the Research Council plays a key role in planning events and developing a set of themes. That said, the group decided to work on the description of each position and areas so they can make any other important decisions.
BRaS Communication Strategy
Brought up by Jayane Maia, the question on this matter was to think about how the BRaS communication strategy is working because she identified some issues, like the number of followers and how BRaS-Blog publications were shared on social media.
Cláudia Pires outlined that there is no communication strategy, and this is something to be figured out. One of her suggestions to the group was to use BRaS partnerships to promote the publications. Matheus Zago and Thaís Cavalcanti reiterated the importance of having a communication strategy. In conclusion, Anna Bennech suggested creating a strategy for social media.
After all the aforementioned subjects being discussed the next meeting was scheduled for October 30th.
